A proforma is a price preview, not a demand for payment. It is not a tax document, doesn't hit your books, and isn't valid for input-tax claims. Send it before the buyer commits; issue a tax invoice on confirmation.
Pre-sale price approvals, international shipments needing customs paperwork before payment, internal PO requisitions, or any time the buyer needs a fixed price to sign off without committing to pay yet.
How long the quoted price holds. After "valid until," you can re-issue at a new price or let the buyer know the quote expired. This is the single most important reason buyers come back and sign off quickly.
Until the order is confirmed, tax could change — different ship-to address, different place of supply, exemption applied, currency conversion. Labelling tax as estimated keeps the proforma legally distinct from a final tax invoice.
