02 — How it works

From scheme rule to numbered series.

Duplicate invoice numbers are the easiest way to fail an audit. The fix is a written scheme — a single rule everyone follows — plus a duplicate-check before any new number goes out. This tool packages both.

01

Pick a scheme

Sequential, fiscal year, calendar year, year + month, date-stamped, or client-coded. Each scheme answers a different question about when the counter resets.

02

Set the format

Prefix, suffix, separator (dash, slash, dot, underscore, or none), pad length (3–6 digits), case. The next number renders live as you type.

03

Cross-check & export

Paste your existing invoice log; the tool flags any conflicts in red. Export the scheme as a PDF (for the finance binder) and the series as XLSX (drop into your billing system).

03 — Built for finance

One scheme, zero duplicates.

6 numbering schemes

Sequential · Fiscal year · Calendar year · Year + month · Date-stamped · Client-coded. Each scheme answers a different "when does this counter reset" question.

Fiscal-year aware

India (Apr–Mar), US Federal (Oct–Sep), calendar (Jan–Dec), or July-start. The fiscal-year tag updates per the issue date so April 2026 invoices stamp as 26-27 automatically.

Duplicate check

Paste your existing invoice log; the tool diffs against the next-N series and flags conflicts in red. No more "Invoice 0247 already exists" emails from your accountant.

Format playground

Prefix, suffix, separator (dash / slash / dot / underscore / none), pad length (3–6 digits), case (UPPER / lower / as-entered). Render the next number live as you tweak.

Client-coded variant

For agencies billing many clients, the "client-coded" scheme inserts a 3-letter tag (NWB, ACME, etc.) between the prefix and the FY counter — easy reconciliation per client.

PDF + 3-sheet XLSX

PDF: branded header, format-choices table, next-number hero, series preview with conflict markers, rules block, audit signatures. XLSX: Summary, Series, Used numbers.

04 — Common questions

Everything about invoice numbering.

01Why do invoice numbers need to be unique and sequential?

Sequential, gap-free invoice numbering is a standard audit requirement in most jurisdictions — it makes it impossible to quietly remove an invoice from the books. In India under GST, invoice numbers must be consecutive and unique per fiscal year. In the UK and EU, VAT invoices must carry sequential numbers. Even outside formal regulation, your accountant or auditor will expect them; gaps and duplicates are immediate red flags.

02When does the fiscal-year counter reset?

On the first day of your chosen fiscal year. India: 1 April. US Federal: 1 October. Calendar: 1 January. The tool picks the FY tag based on the "effective date" you set — an invoice issued in March 2027 stamps as 26-27; one issued 2 April 2027 stamps as 27-28. The counter inside that FY restarts at "Starts at" (typically 1).

03What does the client-coded scheme do?

It inserts a per-client tag between the prefix and the fiscal-year counter: e.g. SCY-NWB-26-27-0001 for Northwind, SCY-ACME-26-27-0001 for Acme. Useful for agencies and managed-services firms that want per-client sub-sequences while keeping a single global prefix. Each client effectively gets its own counter.

04How does the duplicate check work?

Paste your existing log of issued invoice numbers (one per line, or comma-separated) into the "conflict check" box. The tool diffs that list against the next-N numbers in your generated series and highlights any match in red — both in the on-page preview and on the exported PDF. Bump the "Starts at" number or change the scheme until the conflicts clear.

05Can I copy the series straight into my billing system?

Yes — the "Copy series to clipboard" button puts a newline-separated list on your clipboard, ready to paste into a Google Sheet, Excel, or any billing tool. The XLSX export also includes a dedicated "Series" sheet with column headers, which most accounting tools can ingest directly.

06Output formats?

PDF (top accent stripe, branded business header, "INVOICE NUMBER SCHEME" block top-right with scheme name / effective date / format, large next-invoice-number hero card, format-choices table, series preview table with conflict markers in red, optional rules block, optional dual audit-signature block) and XLSX (3 sheets: Summary, Series, Used numbers).
